How It Works

1

Paste the review

Copy the review from Google, Yelp, Facebook, Tripadvisor, or Trustpilot and paste it in.

2

Set the rating and tone

Pick the star rating, platform, business type, and tone. Add names, contact details, or a sign-off if you like.

3

Copy, personalize, post

Get 3 different replies. Copy the one you like, add one real detail, and post it on the review site.

What Makes a Good Review Response?

A good review response is short, specific, and sounds like a person wrote it. Every reply this generator writes follows the same five-part formula from our guide on how to respond to Google reviews. Positive reviews usually only need parts 1, 2, and 5. Negative reviews need all five.

PartWhat to writeExample
1. ThankUse the reviewer's first name"Thanks, Maria."
2. SpecificMention one detail from their review"Glad the gluten-free crust worked for you."
3. Own or explainApologize for real mistakes, explain what you can't control"The 40-minute wait wasn't okay."
4. Next stepInvite them back, or move the problem offline"Call me at 555-0142 so I can fix this."
5. Sign offYour name and role"Dan, Owner"

How Replies Change by Star Rating

4 and 5 stars

Thank them, repeat back one thing they loved, and give them a reason to come back. No sales pitch and no request to contact you. These are the reviews businesses skip most often, so answer them.

3 stars

Thank them for what went well, name the thing that fell short without excuses, and say what you will change or invite them to tell you more. Mixed reviews are the easiest to turn around.

1 and 2 stars

Apologize for the experience, not the facts. Don't argue, don't offer refunds in public, and give a direct way to reach you. Your reply is for the next customer reading it as much as for the reviewer.

Tips for Better Review Replies

1

Reply to your 5-star reviews first

In PostPlanify's analysis of 2,153 Google reviews across 24 business locations, 5-star reviews went unanswered 7.2% of the time, versus 3.3% for 1 and 2-star reviews. Thank the happy customers too.

2

Add one real detail

The dish they ordered, the technician who came out, the room they stayed in. One specific detail is what separates a real reply from a template.

3

Move complaints offline

Give a name and a phone number or email in the reply. Solve the problem privately, then the reviewer may update the review on their own.

4

Never offer anything for a changed review

Discounts or refunds in exchange for editing or removing a review break Google and Yelp policies. Fix the problem because it is the right thing, with no strings attached.

5

Sign off with a name

"Dan, Owner" reads like a person. "The Management" reads like a form letter. Add your sign-off in the optional details field.

When to Slow Down Before Posting

Most reviews are safe to answer with a quick edit of the draft. A few need a human to think first. The generator shows a warning above the replies when it spots one of these:

  • • Legal threats or safety incidents. Keep the reply short and neutral, and check with a lawyer before posting anything about what happened.
  • • Healthcare and other confidential services. The US Department of Health and Human Services has fined dental practices between $10,000 and $50,000 for review replies that disclosed patient details. Never confirm someone is a patient.
  • • Fake, spam, or wrong-business reviews. Report them to the platform, then post a short, polite reply so readers see you handled it.
  • • Extortion. If someone asks for a refund or freebie to remove a review, don't negotiate in the reply. Report it to the platform.

Common Issues & Solutions

Replying to Reviews for Many Locations or Clients

Pasting reviews one at a time works for a single shop. It breaks down at 10 or 20 client locations. PostPlanify's social inbox brings Google reviews into the same place as Instagram, Facebook, and LinkedIn comments, with a separate workspace for each client. It drafts replies with AI, you edit them, and they post without logging in to each Business Profile.

Need more reviews to reply to? The free Google review link generator makes a direct review link and QR code for any business. You can also schedule Google Business Profile posts, read our guide to managing Google Business Profiles for clients, or compare the best Google Business Profile tools.

Been on the $79 plan for 2 months. API access and MCP support is something most alternatives don't have. Didn't think I'd pay $80/mo just to post on social media, but it saves a lot of time.
